Start with the exact product, not the logo
Odoo Online, a self-hosted Odoo deployment and different Odoo plans can expose different integration options. SAP Business One and SAP S/4HANA are not interchangeable integration briefs. Zoho CRM, Zoho Inventory and Zoho Books also solve different problems. Write down the actual product, version, deployment and administrator contact.
Odoo's current documentation restricts external API access on its hosted pricing plans to Custom rather than Standard or One App Free. Confirm your own deployment and contract before selecting a connector. Licensing can be a prerequisite, not a development task that an agency can bypass.
Choose native configuration before custom code where it fits
Zoho Inventory documents a Shopify connection for order and stock workflows. Test whether its supported mapping fits your actual requirements before commissioning replacement functionality. A connector's default behaviour still needs review for historical orders, duplicate items and warehouse ownership.
For QuickBooks, verify Online versus Desktop and the regional product before selecting an integration. For Wafeq, its developer platform supports custom integrations; confirm available endpoints, access and invoice requirements. For SAP, assess the approved integration interface with the system owner. These are scoping routes, not claims of a universal Vexa-certified connector.
Agree finance and stock rules before transferring data
Decide whether Shopify orders create sales orders, invoices or another document. Map tax codes, discounts, delivery, payment fees, gift cards and refunds with the accountant. Do not post both an imported order and a payout summary as revenue for the same sale.
Choose one owner for each inventory field and price list. Define customer matching, currency handling and how missing SKUs are quarantined for review. A two-way sync without ownership rules can repeatedly overwrite correct information.
Build for errors, security and handover
Use least-privilege access, server-side secrets and a test environment or safely isolated sample. Add duplicate-event protection, retries and a reconciliation view that identifies missing or failed transfers. Agree retention of logs without exposing unnecessary customer data.
Launch one workflow at a time, beginning with a controlled order and its refund. Reconcile the result with finance and warehouse staff. Document who owns vendor renewals, credentials, incident response and future schema changes so the integration remains supportable after handover.
